SJB Group, LLC, is seeking a full-time responsible

Primarily responsible for advanced administrative support assignments typically for Project Managers and Division Managers as directed by Supervisor. Requires business and/or technical experience, and detailed knowledge of the company's operations, procedures and policies. Works under policy and procedure guidelines, makes independent decisions regarding planning, organizing, and scheduling work. Administrator should be experienced in industries including engineering, survey, and accounting. Performs general clerical/office administration duties under close supervision.

 ESSENTIAL DUTIES AND RESPONSIBILITIES include, but not limited to the following:

  • Directly supports Project Control Specialist, Project Managers, and Marketing Department regarding active projects, proposals, submittals and works proactively to accomplish tasks.
  • Receives requests for project support, accounting support, and marketing support and ensures tasks are completed; including invoicing.
  • Assists Project Control Specialist with monitoring project progress preparation and processing of new subcontract agreements.
  • Processing (reports, proposals, presentations, federal, state, and municipal submittals, etc.) for projects and marketing.
  • Maintains paper and electronic filing, copying, mailing.
  • Creates and maintains project databases electronic filing control and client mailing lists, while following document control processes.
  • Plans, coordinates, attends and document project progress meetings as required.
  • Prepares invoices and accumulates all appropriate supporting documentation for submission to clients.
  • Serves as backup for other Office Administrative functions, such as but not limited to receptionist; maintain office supplies; office organization and appearance; and Courier duties.
  • Prepares meeting and travel arrangements, internal communications, and meeting agendas.
  • Helps coordinate employee training arrangements and professional organizational memberships.
  • Accounts Payable - review vendor invoices for payment and backup support as needed.
  • Helps new employees understand office procedures and company acclimation.
  • Coordinated tasks with a specific range of responsibilities under established procedures.
  • Assists in ensuring that no work is premature, or in process without a signed contract.
  • Maintains a close and highly responsive relationship with the supervisor and staff.

 EDUCATION/ EXPERIENCE

Three (3) to five (5) years experience performing administrative or technical project responsibilities for multiple project managers/managers. Experience in Deltek Vision Software is a plus. Must demonstrate interpersonal, written and organizational skills along with a proven ability to work independently and under pressure. Proficient knowledge of Microsoft Office, clerical practices, office procedures, and automated equipment required. 

LANGUAGE SKILLS:

Ability to read and comprehend instructions, written and verbal correspondence, and memos. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent. General accounting knowledge and terminology.

REASONING ABILITY:

Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
